How to turn the calls you already recorded into something useful

Kyle Dow·Sep 20, 2026·4 min read

The best answer you have ever given to a pricing objection is sitting in a recording nobody will ever listen to again.

You said it well once. The call ended, the file went into a folder, and the next time that objection came at you it was a Thursday afternoon and you answered it worse. Nothing about that is a discipline problem. Nobody re-listens to their own calls looking for a sentence they might need in four weeks.

The useful question is whether the good answer can find you instead.

Bring your own key and pick the calls

If you already record with Fireflies, you connect it with your own API key. Then you tick the meetings that were real sales calls, tell it which market they belong to, and those transcripts are pulled in.

Two parts of that sentence are deliberate. Your key, and your choice of calls.

We do not reach into your meeting history on our own, and nothing goes in unless you ticked it, so internal standups, one to ones and supplier calls stay out. A tool that hoovered up every meeting on your calendar would be easier to build and much worse to own.

The obvious precondition: it only works if you already record. If your calls are not being captured anywhere there is nothing to import yet, and importing is not the place to start.

What happens to a transcript

An imported call is not filed as a document you could go and read later, which would just be a second folder nobody opens.

It becomes knowledge the coaching layer draws on. The line you found in July is in front of you in September while you are still on the phone, which is the only form in which a past call is worth anything on a live one.

Nothing reaches your script without your say-so

Advice appearing in front of you that you never agreed with, and cannot argue back at, is the fastest way to stop trusting a tool.

So every lesson pulled out of a scored call sits in a review queue. You confirm it, weaken it, or throw it out, and only then does it reach any script. Nothing gets to tell you to say something you have not signed off on.

On a solo workspace the approver is you, because you own the account. This is your own veto over what your own tooling tells you to say. It is not oversight of anybody, and we would rather describe it that way round.

Human always wins is the rule, and it is worth stating as a rule rather than a setting, because a setting can be defaulted the other way by someone in a hurry.

Private coaching, shared wins

You will not be honest about the parts of your calls you are bad at if you think the whole team can read them. That is not a character flaw, it is a completely reasonable response to being observed.

So the memory is separated by kind. Outcome knowledge, the things that turned out to work, is shared. Coaching knowledge, the read on how a particular rep is doing, stays private to that rep. Per-deal memory stays inside its deal and is deleted with it.

The point of that split is that you can be honest about a weak spot and still get the openers that are landing for everyone else.

Where the audio and the text actually go

Coaching runs on transcripts, so it is fair to ask where they sit.

Klesos is built on infrastructure that is SOC 2 and GDPR reviewed. Coaching does not run entirely inside the EU. One inference step runs in the United States under the Data Privacy Framework, and we would rather write that here than have you find it in a security questionnaire in month three.

The firewall that keeps personal details out of the shared brain has its own writeup on this blog.

The thing that does not change

None of this puts a voice on your calls. The system listens and it writes, and what it produces lands on your screen for you to say in your own words.

There is one exception in the whole product and it is not a live call: in the practice drill the AI plays the prospect so you can rehearse against something that interrupts you. It speaks only to you.

Why start here

Most teams looking at a tool like this assume they begin from nothing, and a lot of them do not. If you have a year of recorded calls, you have a year of answers that worked, sitting in a format that has never once helped you on a live call.

Importing them is the shortest path from material you already own to words on the screen while the phone is still to your ear.

Sign up and your first three calls are free. A call only spends one of the three if it connected and lasted at least ten seconds, so wrong numbers and dead lines cost you nothing, and your local number is free in every market we cover.

Stop calling more. Start calling better.

Describe your customer in one sentence. The agent sources the leads, writes the playbook, coaches you live, and gets sharper with every call.
